Responsibilities in events

  • Research catering and accommodation options for meetings and events; make the necessary bookings; communicate and manage relationships with the suppliers

  • Responsible for event registrations in advance of events and on the day itself

  • Support preparation and logistics of events, including contacts with participants, preparation of registration: form, expense claim and evaluation forms, participant lists, badges, practical information for participants issuing invoices for registration fees etc.

  • Ensure effective follow-up of meetings and events, including assessment of evaluation forms, chasing receipt and checking validity of expense claims

  • Carry out administrative duties regarding events, including managing events folders, filing invoices, preparing and filing participant list

Responsibilities in office management & general administration

  • Welcome visitors to the office and deal with a range of telephone and e-mail enquiries

  • Open and organise the daily post. Send external mail and deliver to post box

  • Maintain the conference room which is used for meetings

  • General administrative duties where necessary - ordering stationery and supplies, making travel and accommodation arrangements, filing, support to financial administration etc.

  • Undertake other duties as required by the Head of Operations, the Head of Finance, or the Secretary General

Your profile

  • At least 1-year experience in office administration and/or working on events

  • Excellent spoken & written English, with a good knowledge of French. Dutch is a plus

  • Personal interest & motivation in promoting the rights & well being of children and young people

  • Excellent organizational and time management skills and able to be flexible and prioritize

  • Ability to multitask and high attention to detail

  • Good computer skills, especially Microsoft Word, Excel and Outlook, and a willingness to learn to use and help us update and improve the organization's various online tools and databases

  • Excellent interpersonal skills and the ability to communicate clearly with a wide variety of people in person, in writing and on the telephone

  • Flexibility and readiness to work in a small, interdependent and international team

What we offer

Full-time permanent contract

Starting date: October 1st 2019

Salary: 1900€-2100€ gross per month depending on background and experience + benefits (13th month, lunch tickets, full hospitalisation & pension insurance)
