Job description

In this role you provide secretarial and administrative support to the CEO, CFO, Chairman and HR department. You ensure administrative and coordinating support for the management team and are the interface for the company as a whole.


For the CEO and CFO

  • Manage agendas, organise and prepare meetings, business trips, etc.;
  • Deal with incoming and outgoing correspondence and obtain signatures;
  • Filter and deal with telephone calls;
  • Coordinate the activities of the CEO;
  • Keep corporate contacts up-to-date;

For the Chairman

  • Manage agenda, follow-up mailbox;
  • Deal with incoming and outgoing correspondence and obtain signatures;
  • Filter and deal with telephone calls;

For the management team

  • Deal with telephone calls and visitors in the absence of colleagues;
  • Coordinate logistics for the Road Shows and conferences and prepare the necessary material;
  • Provide administrative support for the Audit Committee;
  • Ensure that equipment is operating properly (printers, photocopiers, binding machine, etc.);

HR assistance

  • Management of hospitalisation and outpatient insurance and of other health matters : yearly vaccinations, blood donations, medical inspections, labour accidents;  
  • Monitor a large number of official HR documents (codicil GSM/credit cards, application for parental leave, family allowances, attestation for banks/nurseries, municipalities, etc.) and other administrative tasks (registration in various HR tools, intranet, etc.);
  • Fall in when the HR Administration Officer is absent;

Your profile

  • You obtained a Bachelor degree in a secretarial direction and have two to five years of professional experience in management assistant roles;
  • You are fluent in Dutch, French and English both orally and written; 
  • You are computer literate and have good knowledge of MS Office tools;
  • Thanks to your critical sense, you are able to analyse and solve problems;
  • You demonstrate strong skills of accuracy, planning and organisation;
  • You are discreet and have a good sense of diplomacy;
  • Your excellent communications skills allow you to be customer-oriented and a real team player;
