Job description

We are looking for a dynamic and service-minded Office Assistant for a small and dynamic European Association. If you enjoy assisting your team and adding value by maximising efficiency and accuracy and independently solving the problems coming your way, then this position could be for you.

What you will do:

  • Managing general incoming queries via phone and email as well as managing the agenda;
  • Manage preparations for meetings, conferences and events including booking travel arrangements and catering as well as preparing presentations and materials for the attendees;
  • General Office duties including ordering of office supplies, updating and maintaining internal database and general administration;
  • Being the point of contact for external providers, including IT support, facility related parties, and accounting including taking charge of related administration;
  • Supporting the team with website content;
  • Any additional administrative tasks as required.

Your profile

As the position involves a large amount if independent work, we are looking for someone who is comfortable working alone, has a proactive and service minded approach and who enjoys continuous learning and independently finding solutions.

On top of that you will ideally have;

  • Previous experience working in an coordinating, administrative role, ideally as a team assistant or management assistant;
  • Excellent knowledge of MS Office and Adobe;
  • Excellent English spoken and written with a working proficiency in French;
  • Relevant educational background is an added value;
  • Ability to coordinate and multitask as well as effectively prioritize;
  • Good communication and interpersonal skills;
  • Basic knowledge of WordPress would be a benefit.
